Remote Working Policy
Version 1.0 — Effective March 2026
1. Purpose
This policy sets out RAAIX's approach to remote working. It exists to give everyone on the team clarity about how we work, what's expected, and how we stay connected — without unnecessary overhead or micromanagement.
At RAAIX, remote working isn't a perk or an exception. It's how we operate. This policy reflects that.
2. Scope
This policy applies to all RAAIX team members, contractors, and collaborators engaged on an ongoing basis.
3. How We Work
RAAIX is a fully remote company. There is no central office. Team members are free to work from home, a co-working space, or any location that allows them to do their best work.
We are an output-focused team. We measure contribution by the quality and timeliness of work delivered — not by hours logged or online status.
4. Availability & Communication
Core hours are 9:00am–4:00pm GMT/BST Monday to Friday. During these hours, team members are expected to be reasonably reachable — able to respond to messages within a couple of hours and available for scheduled calls with appropriate notice.
Outside of core hours, there is no expectation of availability. Team members should feel free to structure their mornings, evenings, and weekends as they choose.
Asynchronous communication is the default. Not every message requires an immediate response. We trust each other to prioritise and respond thoughtfully rather than reactively.
When you are unavailable for an extended period during core hours — such as for appointments, school runs, or personal commitments — a brief heads-up to the team is appreciated but not mandatory. Use your judgement.
5. Equipment & Workspace
Team members are responsible for maintaining a workspace suitable for focused, professional work. This includes a reliable internet connection, appropriate hardware, and a reasonably quiet environment for calls.
RAAIX will discuss equipment needs with each team member individually. Where the company provides equipment, it remains company property and should be maintained with reasonable care.
6. Meetings & Collaboration
We keep meetings to a minimum and make them count. Standing meetings should have a clear purpose and agenda. If a meeting can be an async message, it should be.
Video is encouraged for team calls — it helps maintain connection across a remote team — but is not mandated in every situation.
All team members are expected to attend scheduled team calls unless prior notice of unavailability has been given.
7. Wellbeing & Boundaries
Remote working can blur the line between work and personal life. RAAIX takes this seriously.
We encourage everyone on the team to maintain clear boundaries — finish times, screen breaks, and genuine time away from work. Working excessive hours is not a badge of honour here; sustainable output over the long term is what we're after.
If anyone is struggling with isolation, workload, or the challenges of remote working, they are encouraged to raise it openly. We will work together to find a solution.
8. Security & Confidentiality
When working remotely, team members must take reasonable precautions to protect company and client data. This includes using secure Wi-Fi connections, keeping devices locked when not in use, and not working on sensitive material in public spaces where screens can be observed.
Any suspected security incidents should be reported to the founder immediately.
9. Travel & In-Person Meetups
RAAIX may from time to time organise in-person team days, client visits, or planning sessions. Reasonable notice will be given for any such events, and travel costs will be covered by the company.
Attendance at planned team meetups is expected unless there are exceptional circumstances.
10. Review
This policy will be reviewed annually or when there is a significant change in team size, structure, or working arrangements. Team members are welcome to suggest improvements at any time.
